Terms & Conditions
At Rickhouse Retreats, we’re committed to providing a comfortable, elevated, and consistent experience for every guest. The following terms are designed to protect that experience for all parties and ensure clarity throughout your stay.
By completing a reservation, guests agree to the following:
Guest Eligibility & Occupancy
- All guests must be 21 years of age or older
- Maximum occupancy per suite is stated in each listing and will be strictly enforced
- Only registered guests are permitted on the property unless otherwise approved
Reservations, Payments & Cancellations
- All reservations must be secured with valid payment through our approved processing providers
- Cancellation, refund, and rescheduling policies are outlined at the time of booking and apply as agreed upon *details listed below
- We reserve the right to cancel or refuse any booking that violates these terms
Check-In & Check-Out
- Check-In: 3:00 PM – 6:00 PM; Late arrivals must be arranged in advance
- Check-Out: 11:00 AM
- Failure to adhere to check-out time may result in additional fees.
Use of Property
Guests agree to use the property in a respectful and lawful manner at all times.
- The property may not be used for parties, events, or gatherings without prior written approval
- Guests may not engage in illegal activity on the premises
- Guests are responsible for securing the suite and property during their stay
Noise & Conduct
- Quiet hours: 10:30 PM – 7:30 AM
- Guests must not disturb other guests, neighboring properties, or the surrounding community
- Rickhouse Retreats reserves the right to terminate a stay immediately without refund if a guest is disruptive, unsafe, or in violation of these terms.
No Smoking Policy
Smoking of any kind—including cigarettes, cigars, pipes, vaping, or e-cigarettes—is strictly prohibited inside all suites and interior spaces.
- Smoking is permitted only in designated outdoor areas
- Guests must dispose of materials responsibly
- Violation will result in:
- A $350 cleaning and smoke remediation fee
- Immediate termination of the stay without refund
No Pets
Pets are not permitted in guest suites. Unauthorized animals may result in additional cleaning fees and/or termination of the stay.
Damages & Cleaning
Guests are financially responsible for:
- Any damage to the suite, furnishings, or property
- Missing items
- Excessive cleaning beyond normal use
- Charges will be applied to the payment method on file.
Safety & Liability
Guests agree to:
- Follow all posted safety guidelines and instructions
- Avoid actions that may cause fire, damage, or unsafe conditions
Rickhouse Retreats is not liable for:
- Loss, theft, or damage to personal belongings
- Injury occurring on the property due to guest negligence
- Interruptions to services outside of our control (including but not limited to WiFi outages, utility disruptions, or mechanical failures)
Photography & Commercial Use
Guests may not use the property for:
- Commercial photography or videography
- Content intended for public or commercial distribution
Without prior written consent from Rickhouse Retreats.
Right to Refuse Service
We reserve the right to refuse service or terminate a reservation at any time for behavior that:
- Violates these terms
- Poses risk to the property, staff, or other guests
- Disrupts the intended guest experience
Affiliated Experience
Rickhouse Retreats operates in coordination with Lionheart Whiskey Co.. Guests may encounter shared staff, spaces, or experiences as part of this integrated hospitality environment.
Policy Updates
These Terms & Conditions may be updated periodically to reflect operational, legal, or guest experience needs. The most current version will always apply to active reservations.
Cancellation Policies
Cancellation Policy for Book Now – Pay on Arrival
When a reservation is made, we agree to provide the room you requested and all related packages/services on the reserved dates. We decline all subsequent reservation requests and do not overbook. In turn, by making the reservation, you agree to abide by our rules of occupancy and to pay for your room reservation and packages/services.
That being said, we do understand that sometimes things happen and plans change.
If your plans change, please notify us as quickly as possible by calling 573-860-0300 or emailing us at stay@rickhouseretreatshermann.com. This provides us the best opportunity to rebook your room.
If you must cancel your reservation, the following Cancellation Fee Structure will be followed:
$0 Cancellation Fee – 14 days or more in advance
$75 Cancellation Fee – Fewer than 14 days in advance
$100 Cancellation Fee – Fewer than 7 days in advance
$150 Cancellation Fee – Fewer than 72 hours prior to Check-In
NO Notice, No Show – Your card on file will be charged for the Entire Reservation – Room & Package(s).
Cancellation Policy for Book Now – Pay Now Discount (Non-Refundable)
There will be NO REFUNDS and NO RESCHEDULING on room reservations when booking this option. Any additional packages may be refunded – Minus a $20 Fee – if notified at least 7 days in advance prior to scheduled arrival.
If cancellation policies posted across various booking platforms conflict, it is at the sole discretion of the host/owner to decide which to enforce.
Your Data & Privacy
Who This Policy Covers
This policy applies to anyone who visits our website, makes a booking inquiry, or stays with us. Our booking process requires guests to be 21 or older. We do not knowingly collect personal information from anyone under 21, and we do not knowingly collect any information from minors under 13.
What Information We Collect
Information you give us directly When you book a stay or contact us, we collect your name, email address, phone number, mailing address, payment details, and any other information you share with us voluntarily (like special requests or questions).
Information collected through booking platforms If you book through Airbnb or VRBO, those platforms handle your data under their own privacy policies. When you book directly through our website, your reservation is managed through Think Reservations.
Payment information Payments processed through our direct booking system are handled by Think Reservations and Authorize.net. We do not store full payment card details on our own systems. Airbnb and VRBO process their own payments when you book through their platforms.
Information collected automatically When you visit our website, we collect standard technical information including your IP address, browser type, the pages you visit, and how you found us. We use Google Analytics, Google Search Console, and Google Tag Manager for this purpose. We may also use the Meta Pixel to understand how visitors interact with our site and reach potential guests through Facebook and Instagram advertising.
These tools use cookies and similar tracking technologies. When you first visit our site, you’ll be asked to consent to non-essential cookies. You can adjust your preferences at any time through the cookie settings on our site.
How We Use Your Information
We use your information to:
- Process and manage your reservation
- Communicate with you about your stay, including pre-arrival details, confirmations, and follow-up
- Process payments
- Respond to your questions or requests
- Improve our website and guest experience
- Send you marketing communications (with your consent — more on that below)
- Meet legal and financial recordkeeping requirements
Marketing Communications
From Rickhouse Retreats If you book with us or opt in through our website, we may send you updates, promotions, and news about Rickhouse Retreats. We use Mailchimp, Think Reservations, email, and text message for these communications. You can unsubscribe from marketing emails at any time using the unsubscribe link in any email we send, or by contacting us directly. Text message opt-outs can be managed by replying STOP.
From Lionheart Whiskey Co. We co-own Lionheart Whiskey Co., a craft distillery also located in Hermann, Missouri. We will only send you marketing communications about Lionheart if you have separately opted in. We will never automatically add you to Lionheart communications based on a Rickhouse booking alone.
We will never sell your contact information. Full stop.

Our website uses cookies for the following purposes:

Each of these services operates under its own privacy policy and security standards. We encourage you to review their policies if you have questions about how they handle data.
How Long We Keep Your Information
We keep guest records for as long as reasonably necessary to manage our business, fulfill legal and tax obligations, and resolve any disputes. Marketing contact lists are maintained until you opt out, at which point we remove you promptly. If you request deletion of your data, we will do so to the extent we are not required by law to retain it.
Your Rights
Depending on where you live, you may have certain rights regarding your personal information. These include:
- Access: You can request a copy of the personal information we hold about you.
- Correction: You can ask us to correct inaccurate information.
- Deletion: You can ask us to delete your personal information, subject to any legal obligations we have to retain it.
- Opt-out of marketing: You can opt out of marketing communications at any time.
- Data portability: In some cases, you can request your data in a portable format.
California residents: Under the California Consumer Privacy Act (CCPA), you have additional rights, including the right to know what personal information we collect and to request deletion. We do not sell personal information.

Our lawful basis for processing your data is either contractual necessity (to fulfill your reservation), legitimate interest (to operate our business and website), or consent (for marketing communications). You also have the right to lodge a complaint with your local data protection authority.

Data Security
We take reasonable technical and organizational measures to protect your information from unauthorized access, loss, or misuse. Our third-party payment and booking providers maintain their own security standards and certifications. No method of transmission over the internet is completely secure, but we take our responsibility to protect your data seriously.
Children’s Privacy
Our services are intended for guests 21 and older. We do not knowingly collect personal information from anyone under 13. If you believe we have inadvertently collected information from a minor, please contact us and we will delete it promptly.
Changes to This Policy
We may update this policy from time to time. When we do, we’ll update the “Last Updated” date at the top. If we make significant changes, we’ll make reasonable efforts to notify guests who have an active relationship with us.

We want everyone who visits or stays with us to have a good experience. This statement explains where we are with accessibility, what we’re working toward, and how to reach us if you need something we haven’t addressed.
Our Website
We are actively working to make the Rickhouse Retreats website accessible and easy to use. Our goal is to meet the Web Content Accessibility Guidelines (WCAG) 2.2 at Level AA, the widely recognized advanced standard for digital accessibility, by December 2026.
We aim to support:

- Screen readers and other assistive technologies
- Sufficient color contrast for readability

Our Physical Property
Rickhouse Retreats is housed in a historic building in Hermann, Missouri. As a historic property, we are not subject to the same ADA compliance requirements that apply to new construction.
That said, we genuinely want to accommodate guests where we can. If you have specific needs or questions before booking, please reach out to us in advance and we’ll be honest with you about what we can and can’t do. We’d rather have that conversation early so you can make an informed decision about whether our property is the right fit for your stay.
